 We are committed to protecting the privacy and security of your personal data and only use this information to provide the services that you have requested from us.

 Our privacy procedures have been implemented to comply with the new GDPR which is effective from May 25, 2018.

 Data Controller: Cwmbiga Cottages has appointed a data controller who is responsible for monitoring our data protection compliance.

 If you make a booking through either Home Away, Best of Wales, Airbnb, Sykes Cottages, Holiday Lettings (Trip Advisor) or or any other online travel agent you should also refer to their privacy policy.

 How we collect data: We have access to your data once you book on line through our website via the Freetobook booking system, we have access to your booking details via the Freetobook website.

We have access to your data once you book through any online travel agent we are listed on.

We have access to your data if you book over the telephone.

We have access to data once you have paid on line via Stripe.

We may collect data when you contact us to make an enquiry by phone, email, text or otherwise.

Data is collected on our website by the use of cookies and via our ‘contact us’ online form.

What information do we collect: When you make an enquiry or reservation with us the data collected by us may include your name, address, email address, telephone number, contact details, ages of people in the party if relevant, numbers in your party, name of the person booking, information given about your holiday by you (such as visiting a specific place or interested in park runs etc), holiday dates, date the booking was made, how payment will be made/was made.

When you make a general enquiry about a stay with us we may hold the information that you provide us with to answer or respond to the enquiry.

With regard to data collected by others mentioned above, please refer to the relevant companies own privacy policy.

Sensitive personal data: We do not collect sensitive personal data (such as racial or ethnic origin, nationality, political opinions, religious beliefs, etc) unless it is volunteered by you and it is considered relevant in order to tailor our service to your circumstances. We may sometimes ask for information such as your age or any disability that you may have. As with all data, it is entirely up to you to decide whether or not you are happy to provide this information. Sensitive personal data will only be used in order for us to fulfil our contract with you to provide the services that you have requested. We may use data provided by you to serve you better and meet your particular needs (for example, the provision of disability access).

How we use your data: We use your data to allow us to provide you the holiday maker with a means of renting and paying for holiday accommodation, to communicate with you about your booking, to send you marketing & promotional emails should you opt in to this service. offering you a personalised service and to enhance your stay by noting and fulfilling your requirements. We use your data to improve our business offer to you and to fulfil our legal obligations.

We will only disclose data to the third parties mentioned above to the extent that it is necessary to run our business (such as online travel agents) or comply with law (for example by court order or for the purposes of prevention of crime).

How long do we retain your data: We retain data that is required in order to fulfil our legal obligations to retain records for tax for seven years.

We retain booking information about you the holiday maker for no longer than five years, unless it is to comply with the above point.

 Security of personal data and information: We take appropriate and proportionate measures to secure your personal information and data and to protect it against unlawful use and/or accidental loss. Access to data held by us is limited to the partners of Cwmbiga Cottages.

 Your rights: You may request us to provide you with any personal data we hold about you. Provision of this information is subject to you providing us with appropriate evidence of your identity.

You have the right to: have your personal data corrected; have your data removed; restrict or object to the processing of your data; receive a copy of the data we hold about you; and complain to a supervisory authority. In the UK this authority is the Information Commissioner's Office (ICO).

We only send marketing emails to people who have opted into this service. Marketing & Promotional e-mails will provide a link at the end of the e-mail to unsubscribe from that service. Please note that during the booking process, before and after your stay you may be required to receive information pertaining to your booking/stay.
